Picking accounting software feels like a small decision until you’re two years in, your books live in it, and switching sounds like a root canal. So let’s get it right the first time. We set up and work inside both platforms every week for BC businesses, so this isn’t a feature list copied from two websites. It’s what actually matters once you’re running payroll, charging GST and PST, and handing your books to an accountant at year-end.

Xero or QuickBooks: The Short Answer for Canadian Businesses
If you have employees and want payroll inside the same software, or you just want the platform most Canadian bookkeepers know, go with QuickBooks Online. If you have several people who need access, deal with multiple currencies, or love a clean interface and don’t mind a separate payroll app, Xero is a great fit. Both handle GST/HST and PST properly. Neither is a bad choice.
The real tie-breaker for most owners isn’t features. It’s payroll and who’s going to do your books.
Xero vs QuickBooks Online at a Glance
| Feature | QuickBooks Online (Canada) | Xero (Canada) |
| Canadian payroll | Built-in add-on (extra monthly fee) | No native payroll, connects to apps like Wagepoint or PaymentEvolution |

| GST/HST and PST | Yes, with sales tax reports | Yes, with GST/PST tracking |
| Multi-currency | Higher plans only | Higher plans only |
| Receipt capture | Built into the mobile app | Hubdoc included |
| Inventory | Basic, stronger on top plans | Basic, often paired with an app |
| Accountant familiarity in Canada | Very high | High and growing |

Pricing in Canada: Plans, User Limits and What Each Tier Includes
Prices change often and both companies run heavy launch discounts (think 50% to 90% off for the first few months), so always check the current price on their Canadian sites. What doesn’t change much is how they charge:
- QuickBooks Online has four main plans (EasyStart, Essentials, Plus, Advanced). The big jump is user count. EasyStart is one user, Plus gets you five, Advanced gets you 25. Payroll is a separate monthly add-on plus a per-employee fee.
- Xero plans scale mostly by features (number of invoices and bills on the entry plan, multi-currency and projects on higher plans). Every plan includes unlimited users, which is a big deal if you have a partner, an office manager and a bookkeeper all logging in.
The real cost question: add up software plus payroll plus any apps. A Xero file with a separate payroll app can end up costing about the same as QuickBooks with payroll. Compare the total, not the sticker price.

Canadian Payroll: QuickBooks Payroll vs Xero’s Third-Party Payroll Apps
This is where the two really split.
QuickBooks Payroll lives inside your books. You run pay, it calculates CPP, EI and income tax, files ROEs, produces T4s at year-end, and posts the journal entry automatically. One login, one bill.
Xero doesn’t run Canadian payroll itself. You’ll connect a payroll app such as Wagepoint, PaymentEvolution or Payworks. These are good products and sync well, but it means a second subscription and a second place to check when something looks off.
If you have zero employees and pay yourself dividends, this difference doesn’t matter. If you have five staff in BC with vacation pay and stat holiday pay to track, it matters a lot. (Quick refresher on BC rules: vacation pay in BC and stat holiday pay.)
GST/HST and PST Tracking and Sales Tax Reports
Both platforms handle Canadian sales tax well, which is honestly the most important box to tick for a BC business.
- You can set up GST 5% and BC PST 7% as separate tax rates, or combined when needed.
- Both produce a GST/HST report that maps to the lines on your return.
- Neither files BC PST for you. You still file PST in eTaxBC.
Where people get into trouble isn’t the software, it’s the setup. A wrong default tax code on an expense account can quietly overclaim input tax credits for a year. If you’re new to this, our guide on input tax credits shows what you can and can’t claim.

Bank Feeds, Reconciliation and Receipt Capture
Both connect to the big Canadian banks and most credit unions. Feeds occasionally break (usually after a bank changes its login system), and both reconnect fine.
- Xero includes Hubdoc for snapping and storing receipts. It’s handy and free with your plan.
- QuickBooks has receipt capture built into its mobile app and matches receipts to bank transactions automatically.
For reconciliation, Xero’s bank rec screen is famously satisfying: transaction on the left, match on the right, click OK. QuickBooks is just as capable but feels a little busier.
Ease of Use and Learning Curve
QuickBooks speaks “business owner.” Menus say things like “Get paid & pay” and “Sales.”
Xero speaks a bit more “accountant” (accounts, journals, tracking categories), but its layout is clean and many owners pick it up in an afternoon.
If you’re going to do some of the bookkeeping yourself, try both free trials for a week with your real bank feed. You’ll know quickly which one your brain likes.
Multi-Currency, Inventory and App Integrations
- Selling in USD or paying US suppliers? Both support multi-currency on higher plans. Xero’s multi-currency handling is often considered smoother.
- Inventory: both cover simple inventory. If you run serious e-commerce or wholesale, you’ll probably add an inventory app (like Cin7 or similar) to either one.
- Apps: both have big app marketplaces with Shopify, Stripe, Square, Dext and CRMs. You won’t be stuck with either.
Accountant Access: Which Platform Canadian Accountants Prefer
Most Canadian bookkeeping firms are comfortable in both, but QuickBooks Online still has the bigger footprint in Canada. That means more bookkeepers to choose from and easier handoffs if you change providers.
Both let you invite your accountant for free without using one of your paid user seats.
Where Wave and FreshBooks Fit
Sometimes neither is the right answer.
| Software | Best for | Watch out for |
| Wave | Very small sole proprietors watching every dollar | Fewer features, payroll and support are limited in Canada |
| FreshBooks | Freelancers who mostly need invoicing and time tracking | Less suited once you have inventory or several employees |
| QuickBooks / Xero | Incorporated businesses, anyone with staff or growth plans | Monthly cost is higher |
If you’re incorporated, charging GST, and planning to grow, start on QuickBooks or Xero. Moving off Wave later is doable, just not fun. Our broader roundup of the best accounting software for Canadian small businesses covers more options.
Which One Fits Your Business
| Your situation | Our usual pick |
| Solo consultant, incorporated, no staff | Either, pick the one you like using |
| Trades or construction with a crew | QuickBooks Online (payroll inside) |
| Restaurant or retail with POS | Either, check your POS integration first |
| E-commerce selling in USD | Xero or QuickBooks Plus/Advanced |
| Several partners or staff need logins | Xero (unlimited users) |
| You’ll outsource bookkeeping completely | Whichever your bookkeeper prefers |
Switching from QuickBooks to Xero (or Back) Without Losing Data
You can switch, and migration tools will move contacts, chart of accounts and balances. Here’s how to keep it clean:
- Switch at your fiscal year-end if you can. It’s far simpler.
- Reconcile every bank account in the old system first.
- Export and save your old reports (trial balance, GST reports, payroll history) as PDFs. CRA can ask for records going back six years.
- Bring over opening balances, then rebuild bank rules and tax codes properly.
- Keep read-only access to the old system for at least a year.
FAQ: Xero vs QuickBooks in Canada
Is Xero cheaper than QuickBooks in Canada?
Not always. Xero’s plans can look cheaper, but once you add a payroll app the totals are often close. Compare software plus payroll plus apps.
Do I still need an accountant if I use Xero or QuickBooks?
Software records transactions. It doesn’t plan your taxes, file your T2 or tell you whether to pay yourself salary or dividends. Most owners still need an accountant at least for year-end and tax filing.
Is QuickBooks Desktop being discontinued in Canada?
Intuit has been moving Canadian users to QuickBooks Online and winding down Desktop. If you’re still on Desktop, plan your move rather than waiting for it to stop working.
Is QuickBooks Canada different from the US version?
Yes. The Canadian version handles GST/HST, PST and Canadian payroll. Make sure you sign up on the Canadian site.
Why do some accountants not like QuickBooks?
Usually because of messy files, not the software. Bad setup and uncategorized transactions make any platform painful.
How do I give my accountant access?
Both have a free accountant invite. In QuickBooks use “Manage users > Accountants.” In Xero invite them as an adviser.
