How We Evaluated, Canadian Criteria Not American Ones
The criteria that actually matter here:
- Sales tax handling. Can it charge GST and BC PST on the same invoice at different rates on different line items? Can it track PST payable separately? Can it handle a GST only sale to an Alberta customer and a GST plus PST sale to a BC customer from the same product list?
- CRA filing integration. Can you file the GST return from inside the software, or does someone have to rekey it?
- Canadian payroll. CPP, EI, provincial tax tables, T4s, T4As, ROEs, WCB tracking, and remittance schedules.
- Accountant availability. Can any bookkeeper in Metro Vancouver open your file, or will you be paying a premium for someone who knows an obscure product?
- True cost over three years, including the price increases that arrive on renewal.
- Exit ability. Can you get your data out cleanly if you leave?

QuickBooks Online
The default choice in Canada, and it earns the position on compliance rather than on charm.
Where it is strong: GST and HST filing directly to CRA from inside the product. Canadian payroll built in, including T4s and ROEs. Deep bank feed coverage across Canadian institutions. Every accountant and bookkeeper in the country can work in it, which means competitive pricing on bookkeeping help. Solid mobile app and receipt capture.
Where it frustrates: BC PST requires manual setup as a custom tax rate, and it is easy to configure incorrectly. Pricing has climbed steadily, with another increase in 2026. User counts are capped by tier, so adding your bookkeeper can push you into a higher plan. The interface has accumulated clutter over the years.
Typical Canadian pricing in 2026: roughly $35 to $45 per month for Essentials with three users, $75 to $99 for Plus with five users and inventory, and $120 plus for Advanced. Payroll is an add on with a base fee plus a per employee charge.
Best for: incorporated businesses, anyone with payroll, and anyone who wants their accountant to be able to jump in without a learning curve.
Xero
The strongest competitor, and in some respects the better designed product.
Where it is strong: Unlimited users on every plan, which is genuinely unusual and genuinely valuable. Sales tax handling is the cleanest of the group, with pre configured GST, HST, PST and QST codes and the ability to apply different tax treatments line by line without fighting the interface. Bank reconciliation is fast and pleasant. Over a thousand integrations. Excellent for multi currency.
Where it frustrates: no built in Canadian payroll. You need a third party such as Wagepoint, Payment Evolution or Rise, which adds cost and one more system. The Canadian bank feed coverage is good but slightly behind QuickBooks at smaller credit unions. Fewer local bookkeepers specialise in it, though this is changing quickly.
Typical Canadian pricing in 2026: roughly $45 to $60 per month for the standard plan, $65 to $85 for the premium tier with multi currency.
Best for: businesses with several people who need access, businesses selling across provinces with mixed tax treatments, and owners who value a clean interface.
Wave
The free option, and it is a real product rather than a trial.
Where it is strong: the Starter tier genuinely costs nothing and includes invoicing, expense tracking, and financial reports. Canadian company, so GST and HST are handled sensibly. Clean, simple, fast to learn. Perfectly adequate for a sole proprietor filing a T2125.
Where it frustrates: automatic bank imports and unlimited receipt scanning moved to the paid Pro tier, which is roughly $16 to $19 per month. No inventory management. Reporting is thin. It struggles with the complexity of a corporate file, and most accountants will ask you to move once you incorporate. PST handling requires manual workarounds. Support is limited on the free tier.
Typical Canadian pricing in 2026: Starter free, Pro roughly $16 per month billed annually or $19 monthly. Payroll is a separate add on starting around $40 per month plus a per employee fee.
Best for: freelancers, side businesses, sole proprietors, and anyone who is not yet registered for GST.
Sage Business Cloud and Sage 50
The traditional choice, still strong in specific niches.
Where it is strong: Sage 50 Canadian Edition has excellent inventory and job costing, which is why it persists in construction, manufacturing and wholesale. Strong audit trail. Handles complex inventory costing better than the cloud native products. A large installed base of bookkeepers who know it well.
Where it frustrates: the desktop heritage shows. The cloud offering is less mature than QuickBooks or Xero. Multi user licensing gets expensive. The interface feels dated. Integration ecosystem is much smaller.
Typical Canadian pricing in 2026: roughly $30 to $50 per month for the cloud accounting tier, and $80 to $100 per month for Sage 50 Premium on an annual subscription with two users.
Best for: construction and trades with job costing needs, businesses with real inventory complexity, and companies already running Sage that have no compelling reason to move.

Which One Handles BC PST Properly?
This deserves its own section because it is the question we get asked most by BC clients, and the answer is not what people expect.
BC PST is difficult because it is not a value added tax. There are no input tax credits. It applies to some goods and services and not others, the exemptions are specific, and the rate on some items differs from the general 7%. You need software that can hold GST and PST as separate liabilities and apply them independently, not a single blended rate.
Xero handles this best. Its tax rate architecture lets you build combined rates from separate components, so a single invoice line can carry 5% GST and 7% PST, each posting to its own liability account, and each reporting separately.
QuickBooks Online handles it adequately once configured. The setup requires care, and configuring it incorrectly at the start is the single most common bookkeeping problem we see in BC files. Get it set up properly once, by someone who has done it before.
Wave requires manual workarounds and is not really designed for it.
Sage handles it well, as you would expect from a product with deep Canadian roots.
One timing note worth flagging: as of October 1, 2026, several professional services in BC including accounting, engineering, architecture, security and commercial property management become subject to PST. If you are in one of those sectors, your invoicing setup needs to change on that date, and this is a very good reason to make sure your tax configuration is correct before then rather than after.
Cost Over Three Years, The Comparison Nobody Shows You
Assume a small incorporated BC business with two employees, an owner, a bookkeeper who needs access, and an accountant. Figures are approximate and in Canadian dollars.

Two caveats on that table. First, list prices move, and promotional first year pricing is common, so verify current figures before deciding. Second, the software cost is rarely the biggest number. If a poorly configured file adds four hours a month of bookkeeping cleanup at $65 an hour, that is $3,120 a year, which dwarfs the difference between any two of these products.
Pick the software that keeps your bookkeeping clean, not the one that saves $30 a month.
Matching Software to Your Business
Sole Proprietor or Freelancer
Wave, free tier. You are filing a T2125. You need invoices out, expenses tracked, and a clean income statement in April. Move to Wave Pro when manually importing bank transactions starts costing you an evening a month.
Incorporated Owner Manager With No Staff
QuickBooks Online Essentials or Xero Standard. You now have a corporate year end, a T2, GST filings and probably a shareholder loan account to keep clean. The bookkeeping matters more than it did, and so does your accountant’s ability to work in the file. QuickBooks if you want the strongest CRA integration, Xero if you want your bookkeeper and accountant to have free access.
Business With Employees and Payroll
QuickBooks Online with Payroll. Payroll in Canada is genuinely unforgiving. CPP and EI calculations, remittance deadlines, T4s, T4 summaries, ROEs on every departure, and WorkSafeBC reporting. Keeping payroll in the same system as your books removes a whole class of reconciliation errors. Xero plus Wagepoint is a strong alternative if you prefer Xero.
Construction, Trades and Job Costing
Sage 50, or QuickBooks Online Plus with a job costing add on such as Knowify or Buildertrend. You need cost tracking by job, progress billing, holdbacks, and WorkSafeBC classification tracking. Generic accounting software without a construction layer will let you down on the reporting you actually need to price work.
Ecommerce and Multi Channel Sales
Xero or QuickBooks Online Plus, plus a dedicated connector such as A2X or Link My Books. Do not connect Shopify or Amazon directly to your accounting software. Use a reconciliation tool that summarises payouts correctly, because raw order level syncing creates thousands of transactions and a reconciliation nightmare, and it usually mishandles sales tax by province.

Switching Software Without Wrecking Your Books
The best time to switch is the first day of a new fiscal year. The second best is the first day of a new quarter. Mid year switches are painful and produce reports that nobody can reconcile.
A workable sequence:
- Close and reconcile the old system completely through the cutover date.
- Export everything: general ledger detail, trial balance, AR and AP aging, all reports. Save as PDF and CSV, both.
- Enter opening balances in the new system as of the cutover date, from the closing trial balance.
- Enter open AR and AP items individually so you can still collect and pay.
- Reconnect bank feeds and reconcile the first month carefully.
- Keep the old system accessible for at least seven years. CRA can ask for records going back six years plus the current year, and an exported PDF is not always enough.
Do not attempt to migrate multiple years of transaction history. It rarely works cleanly, it costs a fortune, and you do not need it. Opening balances plus archived reports is the standard approach.
Frequently Asked Questions
Is free accounting software good enough for a corporation?
Rarely. Once you have a T2, GST filings, a shareholder loan account and possibly payroll, you need the reporting and controls that free tiers do not provide. Wave is excellent for sole proprietors and thin for corporations.
Does my accountant need the same software I use?
Not necessarily, but it helps a great deal. Accountants can work from exports, but direct access to your file is faster, cheaper and catches problems earlier. Ask your accountant what they support before you subscribe.
Which is easiest with no bookkeeping background?
Wave for pure simplicity, Xero for the best balance of simple and capable. QuickBooks is powerful but has more surface area, so first time users take longer to feel confident.
Do any of these file GST returns for me?
QuickBooks Online files GST and HST directly to CRA. The others prepare the numbers accurately but you or your accountant submit through CRA My Business Account. None of them file BC PST returns directly, so that step is manual regardless.

Can I switch from Wave to QuickBooks?
